From PO to Buyer’s Warehouse — The Expo Organics Shipping Process
Once your PO is confirmed, what happens? A clear, traceable 8-step process from order confirmation through pre-dispatch QC, packaging, export documentation, dispatch, ocean / road transit, and delivery handover. No “we’ll let you know” black boxes.
The 8 steps from PO to delivery
PI signed + advance received
Proforma Invoice signed by both sides. Advance (30% domestic / 50% international first-order) received via NEFT / wire / WhatsApp link. Production lot scheduled within our 6-month rolling planner.
Production lot reserved
The exact batch reserved against your PI. Spec sheet (including any buyer-customised parameters) locked. Raw material upstream allocated.
Production + in-process QC
Production runs per SOP. Six-stage QC architecture (see QC page) verifies the lot against spec. In-house COA generated.
NABL third-party QC verification
Representative sample sent to NABL-accredited lab. Third-party COA returned and attached. Retain-sample reference issued and stored.
Packaging + master-label application
Lot packed in your specified pack (25 kg HDPE, 180 kg MS drum, IBC, or FCL configuration). Master-label applied with: SKU, botanical / INCI, purity, lot number, manufacture date, retest date, gross/net weight, batch QR code linking back to the digital COA.
Export paperwork pack assembled
COA + GC-MS + NABL third-party COA + MSDS + allergen-23 (if fragrance) + IFRA (if fragrance) + pharmacopoeia compliance (if pharma) + country-of-origin + commercial invoice + packing list + B/L. All in one packet, emailed before dispatch.
Dispatch — truck or container
India domestic: truck out from Bulandshahar Road plant via NH corridor (typical 1–4 day TAT depending on destination state). International: dispatched to JNPT / Mundra / Hazira / Chennai for the relevant shipping line slot. WhatsApp dispatch confirmation with truck-driver number (domestic) or shipping line reference (international).
Delivery + handover
Domestic India: door delivery to your warehouse against signed delivery challan. International FOB: handed over to your freight forwarder at port-of-loading; B/L emailed. International CIF / DAP: delivered to destination port / door per Incoterm; you handle destination customs as applicable.
