The Expo Organics Export Process — From PO Signed to Your Warehouse Door
Every international export consignment moves through the same 12-stage process. Below is the full timeline with day-by-day actions. Use this as a reference to track your active orders, or as a planning tool when calendaring your bulk procurement cycles.
The 12-stage export process timeline
Day 0
PI Signed + Advance Received
Proforma invoice signed by both sides. Advance (30% domestic / 50% international first-order) received via NEFT or wire. We confirm receipt via email + WhatsApp.

Day 1
Production Lot Reserved
Lot scheduled in our 6-month rolling production planner. Spec sheet locked (including any buyer-custom parameters). Raw material upstream allocated to your lot.

Day 2-5
Production + In-Process QC
Distillation / fractionation / cold-pressing per the SKU SOP. In-process QC parameters monitored — vapour temperature, column pressure, reflux ratio. In-process samples drawn at critical points to verify chemistry.

Day 5-6
Finished-Product Testing (In-House)
In-house QC lab tests the full lot — specific gravity, refractive index, optical rotation, GC assay, GC-MS chromatogram with peak ID, organoleptic verification. In-house COA generated.

Day 6-8
NABL Third-Party QC Verification
Representative sample sent to NABL-accredited lab. Heavy-metals + residual-solvent + microbial panel as applicable. Third-party COA returned. 36-month retain sample preserved.

Day 8-9
Packaging + Master Label Application
Lot packed per spec (25 kg HDPE drum, 180 kg MS drum, IBC, or FCL configuration). Master label applied: SKU, botanical/INCI, lot number, manufacture date, retest date, QR code → digital COA.

Export Paperwork Pack Assembled
Commercial invoice + packing list + COA + GC-MS chromatogram + NABL third-party COA + MSDS + IFRA (if fragrance) + Allergen-23 + pharmacopoeia compliance (if pharma) + country-of-origin + Apostille (if LATAM/GCC).

Day 10
Truck Dispatch to Port
Truck dispatched from Bulandshahar Road plant via NH corridor to JNPT / Mundra / Hazira / Chennai. WhatsApp ping with truck driver number + GPS tracking link.
EXPORT
Day 11-13
Port Clearance + Container Loading
Export customs clearance with our export-customs agent. Container assigned + loaded. B/L issued by shipping line. Original B/L scanned + emailed; couriered as required for buyer’s LC documentation.

Day 14+
Sea Freight Transit
Container loaded onto vessel for buyer’s destination port. Transit time: 9 days (GCC) → 32 days (LATAM). Buyer can track via shipping line website using B/L number.

Day arrival
Destination Port + Buyer Customs
Container arrives at buyer’s destination port. Buyer’s freight forwarder handles destination customs clearance using the paperwork pack we shipped. Typical 2–7 days at destination.
DELIVERY
Day final
Delivery to Buyer Warehouse
Container cleared and delivered to buyer’s warehouse. Buyer’s QA team verifies COA + paperwork pack matches the consignment. Retain-sample reference filed in batch record.

Process variations by buyer type
India domestic
Stages 1–8 same. Skip stages 9, 11. Stage 10 = truck dispatch direct to buyer warehouse (1–7 days transit depending on city).
FOB international
Full 12 stages. Buyer’s freight forwarder takes over at port-of-loading (after stage 11).
CIF international
Full 12 stages. We continue to handle freight + insurance through stage 12 destination port. Buyer handles destination customs.
DAP international
Full 12 stages. We handle everything except destination duties + taxes. Buyer just opens the warehouse door.
EXW
Stages 1–9 same. Stage 10 = buyer’s forwarder picks up at our plant gate. Buyer handles everything onwards.
Air freight (samples)
Compressed to stages 1–8 (production + QC same), then stage 9 = air-freight via DEL airport. 5–10 day total port-to-buyer.
Where buyers typically see lead-time variance
- Stage 1 (PI advance): 0–3 days depending on buyer-side banking speed
- Stage 2-5 (production): 0 days if reservation slot pre-locked; 2–5 days if scheduling fresh
- Stage 11 (port clearance): 1–4 days depending on JNPT/Mundra/Hazira port congestion
- Stage 12 (destination customs): 2–10 days; varies widely by country
- Stage 14+ (sea transit): 9–32 days depending on origin-destination route
