Export Paperwork Guide — Every Document You’ll See in a Bulk Aromatic Shipment

An international bulk import has at least 8 paperwork pieces. Some buyers know exactly what to expect; first-time importers don’t. Here’s the procurement-grade reference for every document Expo Organics ships in the paperwork pack alongside the consignment.

The standard paperwork pack — what every Expo Organics consignment includes

Commercial Invoice

The primary commercial document. Lists SKU, quantity, unit price, total value, Incoterm (EXW / FOB / CIF / DAP), payment terms, buyer + seller details, country of origin. This is the document your destination customs uses to assess duty.

Packing List

Breakdown of what’s physically in the consignment: drum / IBC / pack count, gross + net weight per pack, total gross weight, container number (for FCL), seal number. Used by customs to verify physical inspection matches paperwork.

Certificate of Analysis (COA)

Per-lot QC report. SKU identity, lot number, retain-sample reference, full physical + chemical parameters, GC assay, GC-MS chromatogram, analyst sign-off. Pharmacopoeia-graded for pharma SKUs. See our COA library for samples.

Material Safety Data Sheet (MSDS / SDS)

EU/REACH 16-section format. Hazard classification, first aid, fire-fighting, accidental release, handling/storage, PPE, physical properties, toxicology, ecology, transport, regulatory, disposal. Multi-language MSDS available on request. See our MSDS library.

Country-of-Origin Certificate

Confirms the goods are of Indian origin. Required for destination customs valuation. Form issued by Indian authority (chamber of commerce, EIA, or commodity board depending on SKU).

Bill of Lading (B/L) — for sea freight

The shipping document issued by the shipping line. Names the consignee (you, or your bank in LC scenarios), the port-of-loading + port-of-discharge, the container/seal numbers, the freight payment status (prepaid / collect). Original B/L is the document that releases the consignment at destination port.

IFRA / Allergen-23 Declaration (for fragrance ingredients)

IFRA conformance certificate confirms the SKU is compliant with the current IFRA standard. Allergen-23 declaration lists the % presence of each of the 23 fragrance allergens regulated by EU CLP. Required for any cosmetic ingredient destined for EU finished products.

Pharmacopoeia Compliance Statement (for pharma SKUs)

For USP / BP / IP / JP / Ph.Eur graded SKUs, a statement of compliance referencing the specific monograph. Often required by pharma destination registration.
