A bulk essential oils supplier that ships with the documentation your buyer’s QA actually needs
When you’re buying bulk essential oils, you’re buying three things at once: the oil, the documentation, and the relationship. Expo Organics has been the bulk essential oils supplier of choice for cosmetic, aromatherapy, soap-making, pharma and contract-manufacturing brands across 30+ countries since 1984. This page is the operational deep-dive — MOQs, packaging, lead times, pricing tiers, documentation, payment terms and the supplier-hygiene questions your procurement team should be asking us (and every other supplier you’re evaluating).
If you’d rather just send your spec — request a quote and we’ll reply within 24 working hours.
MOQs and packaging tiers
Pricing breaks happen at standard tier boundaries. Here’s the structure:
| Tier | Quantity | Packaging | Indicative lead time | Best for |
|---|---|---|---|---|
| Sample | 10 g / 25 g / 100 g | Amber glass, dropper | 48 hr dispatch | Evaluating purity, aroma, fit |
| Pilot bulk | 1 – 5 kg | Amber glass or 1 kg HDPE | 3–5 working days | First commercial batch |
| Standard bulk | 5 – 25 kg | 5 / 25 kg HDPE drum | 5–7 working days | Regular B2B reorders |
| Wholesale | 25 – 180 kg | 25 kg HDPE / 180 kg sealed barrel | 10–14 working days | Brand scaling, contract manufacturers |
| Container bulk | 180+ kg / FCL | Sealed barrels, palletised, shrink-wrapped | 14–21 working days | Fragrance houses, distributors |
Sample-size pricing is at cost-plus-postage. Pilot and bulk tiers are quoted per current market and your destination. Specialty oils (sandalwood, jasmine absolute, rose otto, frankincense) have higher per-kg pricing and lower MOQs because the raw material is itself constrained.
What “bulk pricing” actually means
A common buyer frustration with Indian suppliers is sticker-price quotes that look attractive but exclude things you’ll discover at the invoice stage. Our quote always specifies:
- FOB or CIF? FOB Delhi for air, FOB Nhava Sheva / Mundra for sea. CIF on request — we’ll quote the freight forward.
- Currency. USD by default; INR for domestic buyers; EUR or GBP on request.
- Validity window. Typically 30 days. Quotes outside that window need a refresh because INR/USD and raw-material costs move.
- Documentation included. GC-MS COA, MSDS, COO, phytosanitary (where applicable), HS-code documentation — all standard, no surcharge.
- Packaging. Itemised. Drum / barrel / pallet / labelling — line by line.
- Payment terms. 30% advance TT, 70% against B/L copy is our default. LC at sight available for repeat buyers. PayPal / Wise for sample orders under USD 2,000.
If a supplier won’t put each of those on the quote, that’s a signal worth heeding.

Documentation we ship with every bulk batch
| Document | Purpose |
|---|---|
| GC-MS Certificate of Analysis | Identity + purity + chemical composition; third-party lab |
| MSDS (Material Safety Data Sheet) | Handling, storage, shipping safety information |
| Allergen statement | Required for EU cosmetic compliance (CLP) and some US labels |
| Certificate of Origin | DGFT / FIEO endorsed, required for customs clearance |
| Phytosanitary certificate | For botanical / plant-origin shipments where the import country requires it |
| HS code documentation | Speeds customs clearance, reduces duty disputes |
| Commercial invoice + packing list | Standard; bank submission for LC payments |
| Batch traceability sheet | Crop year, grower lot, distillation date — for audit-grade buyers |
Retained samples are kept for 36 months in our Ghaziabad QC lab. If a downstream customer ever questions a batch you’ve used, we re-test from the retained sample and supply a fresh COA.
Logistics — air vs. sea, FOB vs. CIF
Air freight (recommended for samples, urgent pilot orders, high-value low-volume oils):
Departs Delhi IGI. Major destinations: New York 5–7 days, London 4–6, Dubai 3, Frankfurt 5–7, Singapore 4–6, Sydney 7–9.
Sea freight (recommended for ≥ 100 kg or container loads):
Departs Nhava Sheva (JNPT) or Mundra. Major destinations: New York 28–32 days, Felixstowe 18–22, Jebel Ali 7–10, Hamburg 22–26, Singapore 8–12.
FOB vs. CIF. FOB is the cleaner option if you have a freight forwarder you trust; CIF lets us bundle and you get one invoice. We’re equally comfortable with both.
Hazmat / dangerous-goods. Most essential oils ship as non-hazmat. A handful (e.g., certain citrus and some aromatic chemicals) are flammable Class 3. We handle the IATA / IMDG documentation in-house and pre-clear with carriers — your shipment doesn’t sit on a tarmac because of paperwork.
How to evaluate a bulk essential oils supplier (us or anyone else)
A buyer’s checklist we’d genuinely respect:
- Ask for a recent GC-MS COA. Cross-check chemical markers (e.g., linalool 28–38% and linalyl acetate 30–45% for lavender) against published Tisserand / pharmacopoeia ranges.
- Ask for the retained sample policy. “Are you holding samples? For how long? Can you re-test on request?” If the supplier doesn’t keep retained samples for at least 12 months, walk.
- Ask for grower / origin disclosure. A real manufacturer can tell you “this lot is Kashmir, crop 2025” — a re-packer can’t, because they bought it on a spot market.
- Ask for an MSDS in the format your importer expects. GHS-compliant should be table stakes.
- Ask for sample size pricing with a clear path to bulk pricing. A supplier who hides their bulk pricing until you commit is signalling something.
- Ask for references in your destination country. Three is reasonable. None is a problem.
- Verify the manufacturing address. “Manufactured in [city]” should match a real factory you can visit or video-tour. Re-packers list mailing addresses.
- Ask about lead-time guarantees. No supplier is 100% on-time, but the honest ones quote ranges, not magic numbers.
- Confirm payment-terms flexibility on first order vs. repeat orders. If first-order terms are inflexibly aggressive, build the relationship before scaling commits.
- Confirm post-sale support. Who do you email when the next batch’s GC-MS comes in 0.5% out of spec? Get that name before you sign.
We’ll happily answer all ten in writing. Most suppliers won’t.
Payment terms — the boring stuff that matters
| Method | When we accept | Notes |
|---|---|---|
| TT (telegraphic transfer) | Default — 30% advance against PI, 70% against B/L copy | Most common; fastest |
| LC (Letter of Credit) at sight | Repeat buyers, large container orders | We work with most major Indian banks |
| LC usance | Case-by-case for established buyers | Discuss with export desk |
| PayPal / Wise | Sample orders only (≤ USD 2,000) | Higher fees; small samples only |
| Western Union | Not accepted | Documentation insufficient |
| Crypto | Not accepted | Regulatory ambiguity |
We do not require ridiculous advance percentages; the 30/70 TT default is standard across the industry. If a supplier asks for 100% advance for first orders, that’s worth investigating.

Frequently asked
What’s the smallest bulk order you’ll accept?
1 kg for most essential oils. We also ship 10 g samples for evaluation — many buyers do a sample → 1 kg pilot → 25 kg standard ramp over 60 days.
Do you blend bulk to spec?
Yes. Custom blends with target chemical-marker ranges (e.g., “lavender at minimum 32% linalool”) are supported. MOQs are higher for blends — typically 25 kg.
How quickly can you ship?
Sample orders: dispatch within 48 hours. Bulk: 5–14 working days depending on stock and packaging. Container bulk: 14–21 working days. Rush is possible at a premium — ask.
Can you private-label our bulk for downstream resale?
Yes — see our private label essential oils page. MOQ 500 bottles per SKU for white-label, full-service.
What if a batch fails our incoming QC?
We re-test from our retained sample and provide a fresh COA. If the discrepancy is real, we replace the batch at our cost. We’ve had this happen — rarely — and resolved it on next-flight basis.
Do you supply USDA Organic / COSMOS / Kosher / Halal certified oils?
Available by SKU on request. Specify on your RFQ.
Ready for a quote?
